The agenda moves, so do the screens.
Live session schedules, room directories and sponsor rotation fed from Cvent, Swapcard and your event platform.
A conference runs on information. Most of it is still printed on A3 posters that were obsolete by 9am.
Every conference, exhibition and corporate event has the same choreography: fifteen sessions running in parallel, last-minute speaker swaps, sponsors who paid for visibility, and delegates who arrive late to the wrong room. The old playbook — printed agenda boards, A3 room directories, laminated sponsor acknowledgements — is already out of date by the first coffee break. Hangar.Media connects to your event platform (Cvent, Swapcard, Bizzabo, Eventbrite, Brella, Hopin, Accelevents) and pulls the single source of truth into every screen in the venue. Agenda changes propagate in under a minute. Sponsor rotations are tracked and reported against contracted impression counts.
Built for how event & conference venues actually run.
The capabilities that matter in this sector — concrete, specific, and backed by the integrations your team already uses.
Every door knows what's in the room right now.
7-15" screens outside every session room showing the current session title, speaker, and minutes-to-end. When the session ends and the next starts in the same room, the screen transitions automatically. When the schedule shifts, every door updates simultaneously. Delegates stop wandering, stop asking stewards, stop arriving at the wrong talk.
The delegate doesn't ask 'is this the right room?' They read it.
- Current session + next session + speaker bio on every room door
- Session-end countdown so stewards can manage transition flows
- Change-propagation in under 60 seconds across the whole venue
- Session-capacity indicator (full, nearly full, open) from registration data
The main-foyer agenda board. Live. Always.
Large-format foyer screens with the entire agenda across every track, every hall, every room — with Now / Next / Later columns that update the instant the event platform does. Filter by track, audience or language. Delegates plan their next session while walking to the coffee station instead of shoulder-surfing a printed programme.
Delegates plan the next hour from the foyer board, not from a crumpled lanyard card.
- Full-venue agenda with Now / Next / Later columns across every track
- Track and audience filters for multi-persona conferences (tech / sales / operations)
- Multi-language layout for international events
- Wayfinding overlay showing the route from foyer to every session room
Sponsor contracts say 400 impressions. The system proves 423.
Sponsor acknowledgement, logo rotation and ad-slot content runs on a scheduler tied to the contracted impression count. Platinum sponsor gets 60% of screen time on foyer boards; silver gets 10% on coffee-area screens. Post-event, Hangar.Media exports a per-sponsor impression report you hand to the sponsor — evidence, not estimation.
Sponsors renew faster when the post-event report quantifies exactly what they got.
- Per-sponsor impression tracking with contracted-share delivery
- Tiered ad-slot allocation (platinum / gold / silver / bronze)
- Per-venue-zone sponsor visibility (foyer vs session room vs coffee bar)
- Post-event sponsor-performance PDF report for renewal conversations
Convention-centre-scale venues. Delegate-scale clarity.
Multi-hall conference centres, hotel-conference floors and exhibition halls are navigation problems. Hangar.Media's wayfinding screens surface turn-by-turn directions to any session room, exhibitor stand, coffee area or break-out zone. Accessibility-routing variants are built in — step-free, elevator-only, nearest-accessible-toilet — because conference accessibility is required, not optional.
Delegates find stand 4G2 without asking a steward. Stewards handle the questions that matter.
- Turn-by-turn directions to any exhibitor stand or session room
- Accessibility-routing variant with step-free and elevator-only modes
- Floor-level multi-language support (EN/ES/FR/DE/IT/JA/ZH as standard)
- Emergency-evacuation routing with bridge-level override for incidents
Friday's conference ends. Monday's is a different brand. One click.
Venues that host back-to-back events turn over brand, wayfinding, room directories and sponsor rotations in hours. Hangar.Media gives operators a per-event profile: load the new agenda, logo, sponsor list and wayfinding map in one click. The venue rebrands itself from Friday's pharma conference to Monday's tech summit with zero manual re-configuration.
Monday-morning venue manager loads the new event. Every screen is already rebranded.
- Per-event brand, logo and colour-palette profile
- One-click turnover between events with preview-all-screens dry run
- Event-profile templates for recurring conferences (annual, monthly)
- Role-based permissions — event-day team sees today's event only
Every screen in the building.
From customer-facing walls to operational dashboards — the scenarios that make the platform worth running day-to-day.
Door-side room directories
7-15" portrait screens outside every session room showing current speaker, session title, time-remaining and next session. Updates in under 60 seconds when the agenda shifts.
Large-format Now-Next-Later boards
65"+ landscape screens in every foyer and registration area with full-agenda Now / Next / Later columns, track filters, and wayfinding overlay to each room.
Sponsor rotation and next-session countdown
Break-area screens running sponsor acknowledgement, next-session countdowns and 'return to hall in 8 minutes' timers so delegates don't miss the post-break keynote.
Stand-directory totems and exhibitor boards
Interactive wayfinding totems at every exhibition-hall entrance. Exhibitor-stand boards at each stand with current-presenter name, next demo time and lead-capture QR.
Pre-session countdown and speaker hero
Main-stage approach screens with pre-session countdown, speaker headshot and bio, session topic and expected duration. Transitions to sponsor acknowledgement between sessions.
Evacuation routing and accessible-route signage
Bridge-level override for emergency evacuation routing. Accessibility-aware wayfinding variants surfaced automatically on accessibility-mode screens in hearing-loop-equipped zones.

Which event platforms do you integrate with?
Hangar.Media integrates natively with Cvent (including Cvent Onsite Solutions), Swapcard, Bizzabo, Eventbrite, Brella, Hopin, Accelevents, Airtable, Goldcast and custom event-management systems. Agenda, session, speaker, sponsor and registration data sync live. If you're running a bespoke event-management system, our integration team will quote a custom connector at no per-connector fee above the standard platform cost.
How fast do agenda changes propagate to the screens?
Under 60 seconds in almost every deployment. When a session moves rooms, the old room's door screen updates to show the replacement session and the new room's door screen updates to show the incoming session. The foyer Now-Next-Later boards refresh simultaneously. Sub-60-second propagation matters most on conference mornings when 20% of the agenda tends to shift in the hour before the first session.
Can the platform handle back-to-back events in the same venue?
Yes — that's the event-turnover feature. You configure a per-event profile (brand, logo, agenda, sponsor list, wayfinding map) and load it for the event day. One-click turnover swaps the entire venue's screen content between events, with a dry-run preview of every screen before go-live. Recurring events keep their profile saved for next year.
How does pricing work for a conference-centre venue?
£5 per screen per month, flat. A medium-size conference venue with 80 screens (room-door directories + foyer boards + coffee-area sponsor screens + wayfinding totems) pays £400 per month. Same price whether you run one site or a hundred. No tiers, no per-connector fees, no sector premium.
